Provide administrative support to the President & CEO, Board of Directors and board committees at large, local non-profit organization.
Duties & Responsibilities
Support the administrative needs of the President & CEO in order to enable her to be more efficient. Proactively perform general administrative duties such as maintaining meeting calendar, ensuring materials are provided for meetings, making travel arrangements, monitoring incoming phone calls and taking accurate messages, screening appointments, completing expense reports, word processing, developing and maintaining spreadsheets and databases, composing correspondence, preparing and handling the processing of purchase orders, filing, copying, opening and distributing mail, and managing supplies for the President & CEO and Board and Committee functions.
Perform ad-hoc reporting, provide statistics and develop executive level presentations using Microsoft Office applications. Ensure professional communications and the production of professional documentation, charts, manuals, surveys, and archive searches. Create and maintain various databases; and create PowerPoint presentations for Board and Committee meetings and other meetings as required.
Work with the Development Department to ensure President & CEO’s attendance at speaking engagements, dinners, etc.
Organize and coordinate scheduling, agendas, and materials for the President & CEO, staff, Board, and Board committee meetings. Schedule meeting spaces, on-site and off-site, for various calendars; prepare staff meeting materials and record and transcribe the minutes; prepare Board and Board committee materials and record and transcribe the minutes; and prepare Board orientation materials.
Develop and maintain Board and Administration public network folders.
Assist in special events planning assigned by the President & CEO
Bachelor’s Degree in Business Administration plus five years related executive administration experience and/or training; or equivalent combination of education and experience.
Excellent organizational, written, verbal, and telephone skills are required.
Demonstrated ability to work in a fast paced environment with multifaceted demands.
Great attention to detail with an emphasis on accuracy.
Proven ability to successfully handle multiple projects and meet critical deadlines.
Strong analytical thinking and problem solving skills.
Results-orientated and the ability to take initiative.
Proficiency with Microsoft Office applications.
Flexibility to attend evening and/or weekend meetings and/or events.

Real Estate Closing Coordinator/Paralegal
Real Estate agency located in the Greater Pittsburgh area is looking for a paralegal to assist in the office with closings and client relations.
Prepare Settlement Statements/CDs
Order and review title and assist with title clearance of subject properties
Open title orders and order lien letters
Communicate and coordinate with lenders, buyers, and sellers in a closing transaction
Prepare documents and affidavits for closing
Schedule and maintain closing calendars
Prepare wires for transfer
Disburse files and issue checks post-closing
Issue closing documents and letters to appropriate parties
Provide internal and external customer service
Answer a moderate volume of phone calls
Deposit incoming funds from lender
Ensure file is properly balance and reconcile any differences with Escrow Officer
Desired Skills & Experience
Minimum Associates Degree required, 4 year Bachelor’s Degree preferred
Must possess excellent organizational skills and above average attention to detail
Must be able to work independently with minimal supervision
Excellent communication skills both written and verbal
Working understanding of Microsoft Office (Outlook, Excel, Word)
Ability to work in a fast-paced environment while maintaining a positive attitude and quality of work
Good problem-solving skills
Proficiency in Softpro software preferred.
